When construction
margins are tight, poor planning becomes expensive very quickly. A missing
detail can stop a crew. A late product selection can hold up several trades. An
unrealistic programme can extend supervision and site overheads. For projects

administrative padding. It is one of the main controls over cost, quality and
completion.
Start with a clear
brief
Many project problems
begin before drawings. The client may know the type of building they want but
not the operational requirements, budget limit or completion priority.
A useful brief defines

essential and what may be adjusted. For a commercial renovation, it should also
explain whether the business remains operational during construction.
The budget must cover

access around operating businesses or neighbouring residents.
A compressed programme
may be possible with more labour or overlapping work, but this can reduce
productivity and increase safety and quality risk. The fastest-looking schedule
is not always the fastest achievable schedule.
Plan procurement
before site demand
Materials cannot be
managed through urgent phone calls alone. A procurement schedule identifies
what must be selected, approved, ordered and delivered.
Long-lead products
such as structural steel, windows, switchboards, mechanical plant, specialist
doors and imported finishes should be tracked from design release. Shop
drawings and samples need client or consultant approval by fixed dates.
Storage and handling
also matter. Early delivery can protect the programme but expose materials to
damage or theft if the site is not ready.
Make responsibility
visible
Construction involves
many parties. Tasks are missed when everyone assumes someone else is managing
them.
A responsibility
schedule can identify who designs, supplies, installs, tests and certifies each
element. The contract documents should align with this schedule.
Client-supplied products require particular attention because late delivery can
delay contractor work.
Requests for
information and design decisions should have owners and deadlines. A weekly
meeting is useful only when actions are recorded and followed through.
Control cost
throughout delivery
The original contract
value is not the final forecast if scope changes. Monthly reporting should show
approved variations, pending variations, allowances, contingency use and
anticipated final cost.
Variations should
describe the scope, price and programme effect. Verbal instructions create
uncertainty for everyone. Where urgent work must proceed, the instruction and
pricing basis should still be documented.
Contractors also need
labour productivity information. Comparing hours used with quantity completed
helps identify problems before the package is finished.
Plan quality and
completion from the start
Quality is easier to
build in than inspect in later. Inspection and test plans should identify hold
points, approved samples and documentation requirements.
Completion planning
should begin months before handover. Testing, producer statements, warranties,
manuals, training, council records and defect inspections all take time. A
building that looks finished may not be ready for a Code Compliance Certificate
or occupation.
